Privacy Policy
Last updated: 27 October 2026
This policy explains what information razmians.com collects, how we use it, who can see it and the choices you have. The site is private: only approved members get in, and we never sell your information.
Using razmians.com also means agreeing to our Terms of Service.
1. Information you give us
- Your account: your name, email address and password. Your password is stored securely, so nobody, not even our admins, can read it.
-
Your college details: whether you are a cadet or a teacher, and:
- for cadets: kit number, entry, house, the classes you joined and left in, year of passing out, and whether you are still studying;
- for teachers: department, designation, years of joining and leaving, and whether you still teach there.
- Your appointments (optional): appointments you held at the college, such as star commander, House Master or Head of Department, with the house or years. Other members see one only after an admin has verified it.
- Your profile: photo, title and phone number (each optional), and, once you have left the college, your current city, field of work, job title and organisation.
- Signing in with Google (optional): your name, email address and profile photo, as explained in section 4.
- The gallery (optional): the albums you create (title, description, year and city), the photos and videos you add to them, their captions, and the members you tag in them.
- Chat (optional): the messages you send other members, when you sent them, what you have read, and the members you block.
- Reports: when you report a photo, video or message, the reason and any details you give.
- Messages you send us, for example emails to our support address.
2. Information collected automatically
- When you were last active on the site (to the nearest minute), to show who is online.
- Technical details such as your IP address, browser and the pages you visit, which our servers and Cloudflare record to keep the site secure and stop misuse, such as repeated failed sign-ins.
- A record of the emails we send you (the address, the message and whether it was delivered), so our admins can resend one that didn't arrive.
- Who reviewed your application, when, and the reason if it was turned down.
- Photos and videos can carry hidden details, such as where they were taken. The copies members see have these details removed, and the original file is never shown to anyone.
- Which moderator kept or removed a reported photo or video, and when.
3. How we use your information
- To create and run your account, and to sign you in.
- To check that you really are a cadet or teacher of the college before approving your account.
- To show your profile in the member directory and let members search it, as described in section 5.
- To show the gallery's albums, photos and videos to members and let them search it, as described in section 5.
- To review reported photos and videos, and to hide or remove the ones that break our rules.
- To send you emails about your account: confirming your email address, resetting your password, approval decisions and security alerts. We don't send marketing emails.
- To keep razmians.com safe, prevent spam and misuse, and fix problems.
- To see how the community is growing, using totals only (for example, the number of members in each house).
We don't sell your information, show adverts, or use outside tracking or analytics tools.
4. Google user data
Signing in with Google is optional. If you choose it, Razmians asks Google only for your basic profile and email address (Google's "profile" and "email" permissions). We never ask for access to your Gmail, contacts, Drive, calendar or any other Google service, and we never post anything to your Google account.
- What we receive: your name, email address, profile photo, whether Google has verified your email address, and the account ID Google gives you.
- How we use it: to create your Razmians account or sign you in to the account that already uses the same email address; to fill in your name, which you can check before joining; to copy your Google photo to your profile, only if you don't have a photo on Razmians yet; and to recognise you the next time you sign in with Google.
- How we store and protect it: it is kept with your account in our database and protected as described in section 9. Google never shares your Google password with us, and we don't keep the access keys (tokens) Google gives us during sign-in.
- Who we share it with: no one outside Razmians. Other approved members see only what appears on your profile, as described in section 5. We don't sell Google user data, use it for advertising, or use it to train artificial intelligence models.
- Removing it: you can disconnect Google from your account on the Account Connections page, remove Razmians' access at any time from your Google Account, or ask us to delete your account, which deletes this information with it.
Razmians' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. Who can see your information
- Nothing inside razmians.com is public. Only signed-in, approved members can see it, and search engines can't reach it. Only the public pages, such as the home page and this policy, appear in search results.
- Approved members find each other in the member directory. There they may see your name, title, photo, username, whether you are a cadet or teacher, your college details (including your kit number), your verified appointments, city, work and what you write about yourself. They can search the directory by these details.
- Every approved member can see the gallery: albums, photos, videos, captions, who added them and the names of the members tagged in them. They can search it by album, caption, place, year and the names of the people tagged. If you are tagged, your photos are listed on your directory profile and under "Photos of me".
- Your chat messages are seen only by the members of that chat. Admins can't read chats; moderators see a message only when it is reported, with the 5 messages before it in that chat, and nothing else of it.
- When you report a photo, video or message, it disappears for you at once. Moderators see your report, your name and your details. The member who shared a photo or video never sees who reported it; in a chat between two members, the other member can tell. If a moderator removes it, that member is told the reasons, but not your details.
- Your phone number and email address are shown to other members only if you turn that on in your profile. They are never searchable: nobody can find you by typing your number or address.
- Our admins can see your full account, college details and application, so they can approve and manage members and keep the community safe.
- We may share information if the law requires it, or if it is needed to protect the safety of our members.
6. Services we use
We use a few trusted services to run razmians.com. They handle your information only to provide their service to us:
- Cloudflare, which protects and speeds up the site, stores profile photos, and stores and delivers the gallery's photos (Cloudflare Images) and videos (Cloudflare Stream);
- our hosting providers, which run the website, its database and the live delivery of chat messages;
- our email provider, which delivers the site's emails;
- Sentry, which tells us when something on the site breaks, with technical details such as the page and the information sent to it, so we can fix it;
- Google, only if you choose to sign in with Google (see section 4).
These services may store information outside Pakistan.
7. Cookies
We only use the cookies the site needs to work:
- a sign-in cookie, which keeps you signed in;
- a security cookie, which protects the site's forms;
- Cloudflare's security cookies, which help block bots and attacks.
Your browser also remembers whether you chose the light or dark theme. We don't use advertising or tracking cookies.
8. How long we keep it
We keep your information while you have an account. When an account is deleted, its profile, photo and college details are deleted with it. Some records, such as copies of emails we sent, may be kept after that where we need them for security or record-keeping.
- Albums, photos and videos stay in the gallery after the account that added them is deleted, shown as added by a "Former member", because they belong to the community's shared memories. Delete them yourself before closing your account, or ask us to, if you don't want them kept.
- When your account is deleted, you are untagged from every photo and video.
- Chat messages stay with the members you sent them to after your account is deleted, shown as from a "Former member", just as a message stays on the other person's phone.
- When you delete a message, nobody sees it again, but its text is kept for 30 days so it can still be reported, then erased. While a report on it waits for a moderator, it is kept until they decide.
- When a photo or video is deleted or removed by a moderator, its file is deleted at Cloudflare. For removed ones, a record of the report and the decision is kept.
9. Keeping your information safe
- The whole site uses a secure, encrypted connection (HTTPS).
- Photos and videos are kept in private storage and shown only through signed links that stop working within two hours, so a copied link soon stops working.
- Admins only get the access their role needs.
No website can be perfectly secure. If you notice anything wrong, please tell us straight away.
10. Your choices
- Update your details at any time on your Profile and College details pages. Your kit number, entry and house are fixed once you are approved; email us if one of them needs correcting.
- Change your email address and password from your account menu.
- Choose whether other members can see your phone number and email address, and remove your photo at any time.
- Edit or delete the albums, photos and videos you added, and change who is tagged in them.
- If you're in a photo or video and want it taken down, report it with "I'm in it and want it removed", and a moderator will review it.
- Ask us for a copy of your information, or to delete your account, by emailing [email protected].
11. Members under 18
Current cadets may be under 18. If you are, please ask a parent or guardian before joining and before sharing details such as your phone number. A parent or guardian can contact us to see or delete their child's information.
Photos and videos of the college often show cadets under 18. Only add them with care, and anyone can report one that puts a child at risk: moderators are told straight away.
12. Changes to this policy
We may update this policy from time to time. When we do, we'll change the date at the top of this page, and we'll tell members about important changes by email or on the site.
